Loaners, shipping, payment and turnaround

The questions we get asked most often about sending a scope to New Vision Endoscopy. If yours is not here, call us — a person answers.

Do you offer loaner scopes?

Yes. We have over 400 endoscopes in our inventory that we offer as loaners while your repair is in-house. Loaners are available upon request and are subject to availability, so ask for one at the same time you arrange your repair.

Once your repaired scope has been returned to you, the loaner must be shipped back to us within 7 business days. After that, a $25 per day fee applies. Many of our loaner units are also available for purchase if you decide you would rather keep one.

Do you offer service plans?

Yes. A service plan is one monthly charge covering repairs on your scopes, and optionally your video processors and light sources. You ship the item in, we repair it, and it comes back — with no estimate to approve first and no per-repair invoice afterwards.

Plans suit GI clinics and ambulatory surgery centers best, where a scope going down means cancelled cases and the delay is usually the approval cycle rather than the repair itself. More detail is on our service plans page.

Do you repair anything besides scopes?

Yes. We also take in video processors, light sources and light guide cables, so you have one point of contact for the tower as well as the instruments — and one shipment instead of several.

How is shipping handled?

We ship worldwide via FedEx, UPS or DHL. Customers are responsible for all shipping expenses, including any duties, taxes and fees on international orders.

Call or email us before you ship so we can confirm the correct receiving address and log your scope in the moment it arrives.

What are your payment terms?

We accept checks, wire transfers, PayPal, Zelle and credit card payments. A 3% charge is added for all PayPal, Zelle and credit card transactions.

New customers and customers purchasing items pay at shipment. Repair customers may qualify for net 30 terms after establishing a good business relationship with us and providing three credit references.

How long does a repair take?

Turnaround depends on what the scope needs — an angulation adjustment is not the same job as a full overhaul with a new fiber bundle and outer tube. What we can commit to is the front end: the quote tells you the expected turnaround before you approve anything.

Rigid, semirigid and specialty scopes: most quotes go out within 24 hours of the scope arriving.

Flexible scopes take longer. A flexible has to be opened to be evaluated properly — most of what fails is inside the insertion tube or control body, where it cannot be seen from the outside. We quote as soon as the evaluation is complete, and if it needs in-depth troubleshooting we call you rather than letting the scope go quiet. Anyone quoting a flexible without opening it is guessing.

If your schedule is tight, say so when you call. Request a loaner and your department keeps running while we work.

Do you charge for an evaluation or quote?

No. Send the scope in and we evaluate it, identify every fault and send you a written quote. You decide from there. If a previous vendor has modified the scope, we will tell you that too — it affects what a proper repair costs and whether repair still beats replacement.

What brands of endoscope do you repair?

We routinely service Olympus, Karl Storz, Stryker, Richard Wolf, Arthrex, ACMI/Circon, Smith & Nephew, Covidien, MicroAire, Myosure and many others across flexible, rigid, semirigid and specialty instruments.

What parts do you use?

We use high quality components manufactured to be fully compatible with OEM assemblies, and we rebuild every scope to OEM specification. On rigid scopes, the rod lens systems are rebuilt with German-engineered optics.

We want to be straightforward about this, because some vendors are not: we are an independent repair lab, not an OEM service center, so we do not fit original-manufacturer branded parts. What we fit is precision optics matched to the specification of the instrument we are rebuilding.

In practice that means the same image quality, the same fit and the same function — at a fraction of OEM repair pricing. What we will never do is fit salvage optics pulled from another scope and describe them as new.

Another vendor told me my scope is unrepairable. Is it?

Often it is not. Small-diameter 1.9–3.0 mm scopes, reverse angle optics, magnetic adjustment systems, operating laparoscopes and nephroscopes get declined by general repair shops because the tolerances are unforgiving and the tooling is specialized.

My image is dark. Is it the scope, the cable or the light source?

From the OR they look identical, which is why facilities often replace the wrong thing first. A dark image can be a scope with a tired fiber bundle, a light guide cable that has lost fibers, or a light source near the end of its lamp life.

The quickest way to find out is to send the scope and the cable in together and tell us which light source you are running. We isolate where the light is actually being lost, so you replace the part that is failing rather than working through them one at a time.

What quality control do you run before a scope ships?

Every scope goes through a multi-point inspection with multiple QC checkpoints before it leaves the lab. That includes microscopic examination of the optics, live camera testing for image clarity and field of view, autoclave evaluation on autoclavable instruments, and leak testing.

We also document what we find, including any modifications made by a previous vendor, so you know the real condition of the instrument you are getting back.

What warranty comes with a repair?

Serviced equipment carries a 90-day warranty from the invoice date covering all parts and labor related to the service performed. Equipment purchased new from us carries a 12-month parts-and-labor warranty. Full terms are on our warranty page.

Do you work with veterinary practices?

Yes. We repair rigid, flexible and specialty scopes for veterinary surgical practices on the same terms as our human healthcare customers — same evaluation process, same QC, same warranty.
